Define stages before counting
A message may come from someone new, someone already in conversation, or a returning patient. A booking may also be a new appointment or a rescheduling. Without definitions, seemingly simple numbers represent different situations.
Track people and opportunities
Choose how the clinic identifies an opportunity and keep that definition consistent. One person may send several messages and talk on different days. Do not multiply opportunities just because the conversation continued.
The unit of analysis must reflect the operation: an inquiry about an initial assessment should not automatically be grouped with an administrative request from an existing patient.
Investigate where conversations lose continuity
Observe whether there was a response, which questions arose, what next step was proposed, and whether suitable times were available. Interruptions may relate to the audience, offer, lead handling, or the person's circumstances. A single signal does not establish the explanation.
Separate booking from attendance
A booked appointment can still be rescheduled or canceled. Track a completed appointment as a separate event. When reviewing a period, consider whether that group's appointments have had time to occur; recent results may be incomplete.
Connect records to a decision
Filling out a spreadsheet is not enough. Use data to choose what to investigate and who participates in the adjustment. Repeated questions may call for clearer communication. If suitable times are unavailable, generating more inquiries may not be the next priority.
